Position Summary

The Program Coordinator - Fiscal Sponsorship (PCFS) provides holistic administrative and operational support to our fiscal sponsorship team and fiscally sponsored projects (“FSPs,” “projects”). This position reports to the Senior Director - Fiscal Sponsorship & Infrastructure (SDFS). Praxis provides hands-on, intensive, and partner centered comprehensive fiscal sponsorship and capacity-building support in furtherance of our mission and our overall vision to build community power.

We are seeking candidates with some operational experience at nonprofit, philanthropic, or movement organizations who are highly coachable, motivated, and ready to rapidly gain technical knowledge through on the job training and professional development in the niche and dynamic subfield of fiscal sponsorship. Prior experience working with comprehensive (“Model A”) fiscal sponsorship and/or in community organizing or for a social justice movement organization is strongly desired.

This is a full-time (40 hours per week), fully benefits-eligible, exempt position, with a general work schedule of Monday through Friday, Pacific Time preferred. Candidates must be available to work an 8-hour day that includes the hours of 9 a.m.-3 p.m. Pacific Time. Overnight travel is required. For Bay area candidates, in-person monthly team meetings may be expected about 1x per month. The salary range for this position is $70,000-$80,000 USD per year, and the final salary will be based on experience. Praxis provides regular cost-of-living pay changes and substantial employee benefits beyond salary, taking a holistic approach to setting compensation.

duties & responsibilities

FSP relationship coordination (~70%)

  • Serve as a central point of contact and liaison between Praxis and our FSPs, acting as a trusted, credible, and consistently supportive partner to project directors, staff, volunteers, constituents, advisory board members, and more.

  • Maintain responsive and supportive ongoing communication with all projects, answering questions and coordinating input from other staff and/or escalating issues to the SDFS as appropriate.

  • Provide scheduling and administrative coordination for check-in meetings with projects while responding to timely needs ad hoc.

  • Support the SDFS with her administrative needs in relationship management including scheduling, correspondence, and meeting follow-up.

  • Support FSP onboarding for new and existing FSPs to our systems and processes in a partner centered and culturally competent manner.

  • Coordinate project offboarding through implementation of a spin off process (which includes liaison with the finance, human resources, and compliance team to transfer assets and liabilities, contact with Praxis counsel for termination agreements, and providing resources to help build out infrastructure for their independent entity).

  • Administer assessments and surveys as instructed by the SDFS.

  • In partnership with other staff, identify and implement new systems and technology as needed. Contribute to process documentation and improvement efforts.

  • Complete data entry and maintenance in Salesforce to keep our fiscal sponsorship related contacts, records, and notes up to date.

  • Other relationship management duties as assigned by the SDFS.

Cross-functional support (~20%)

  • Support cross-functional Asana workflows for relevant HR, finance, and compliance processes to ensure transparency across teams and serve as a cross-team point person for task follow-up.

  • Route documents, contracts, and filings to signers using DocuSign or notary services.

  • As directed by the SDFS, serve as a point of contact for external contractors or vendors.

  • Work with compliance service provider to maintain state registrations and annual report filings, conducting follow-up as needed.

  • Work with FSPs to gather information to meet internal and external compliance requirements including lobbying time and expenditure reporting and advisory board maintenance.

  • Manage and maintain program files in a way that centers transparency and accessibility, through up-to-date organization and naming conventions.

  • Conduct in-depth notetaking for internal team meetings and external meetings with project leads, funders, contractors, and other external partners. Coordinate action items and follow-up, using Salesforce and/or Asana as needed.

  • Maintain up to date fiscal sponsorship inquiries and provide administrative support for the outreach, vetting, and approval processes for new FSPs. Other cross-functional duties as assigned by the SDFS.

Fiscal sponsorship field building (~10%)

  • With support from the SDFS, stay up to date on professional standards, laws, regulations, policies, and technology related to fiscal sponsorship, nonprofit operations, and capacity building.

  • Engage in professional development and networking to improve the fiscal sponsorship program, helping to represent the program and Praxis at meetings and conferences and as part of coalitions and affinity networks related to this work.

  • Attend and present at major field events and conferences including the annual National Network of Fiscal Sponsors National Gathering.

Qualifications, education, and experience

  • A minimum of four years of increasingly responsible work experience in a nonprofit, philanthropic, or social justice movement setting is required.

Required skills, knowledge, and abilities

  • BacheDemonstrable commitment to social justice and commitment to Praxis’ mission.

  • Experience working with organizations advocating for equity and racial justice.

  • Exceptional judgement and demonstrated ability to adapt and thrive in rapidly changing situations.

  • Strong interpersonal skills, relationship-building ability, and high degree of comfort with public speaking and facilitation and/or training.

  • Outstanding verbal and written communication skills and demonstrated fluency in culturally appropriate, diplomatic, and non-marginalizing communication.

  • High level of professional ethics and integrity and the demonstrated ability to maintain confidential information in utmost confidence.

  • Fluency with Google and Microsoft Office apps(including high level of functionality in Excel) and other basic office information technology as well as enthusiasm for adopting new systems.

Desired Qualifications

  • Experience working with comprehensive (“Model A”) fiscal sponsorship and/or in community organizing or for a social justice movement organization.

  • Experience using Asana or other comparable project management software.

  • Experience using Salesforce or other comparable relational database.

  • Experience in effective conflict management and de-escalation.

Mental and physical demands

  • Fast-paced work environment.

  • High level of concentration and attention to detail required.

  • Time speaking and listening ranges between 25–50%.

  • Extended time sitting or standing, while at a computer.

  • Praxis currently works remotely both as an internal team and with our partners based the United States. Leading and participating in remote video and telephone conferences is required. Multiple video conferences per day with camera settings and video camera on.

  • Occasional travel (about three trips per quarter), including overnight travel, is required, potentially lasting two or more days per trip. Please note that the first overnight out-of-state trip is family-friendly and will be held July 10 through July 16 in Cincinnati, Ohio.

  • In-person team meetings and/or participation in local (in your hometown) networking events may be expected approximately 1x per month.

  • Some exposure to hearing, seeing, or imagining traumatic events or social crises within the communities we serve.

  • Extensive interaction and communication with colleagues and strangers, in person and virtual.

  • Valid driver’s license, clean driving record, and insurance are required for employees driving on Praxis business; driving record checks may be required as well.

Level of Language Proficiency
